After-hours voicemail scripts for campgrounds

Seven greetings, ready to record. The default one on most park phones is costing bookings every night.

Most park voicemail greetings tell a caller the office is closed and nothing else. A camper deciding tonight where to stop tomorrow hangs up and calls the next park on the list.

A greeting cannot answer a question. What it can do is give the caller somewhere to go, and a reason to believe a message will actually be heard.

What every greeting needs

  1. The park name, said clearly, so the caller knows the number was right.
  2. When somebody will actually respond, in plain terms rather than office hours.
  3. Where to go instead, which is almost always the website.
  4. What to say in a message, because vague messages are the ones that cannot be returned.
  5. A late-arrival instruction, if there is any chance the caller is already on the road.

Under thirty seconds. A caller who has to sit through a minute of greeting is a caller who hangs up before the tone.

The default after-hours greeting

You have reached Cedar Ridge RV Park. The office is closed right now, but we check messages first thing each morning and return calls before noon. For rates, site types and availability, our website is cedarridgervpark dot com, and you can book right there. If you are arriving tonight, leave your name and rig length and we will hold a site. Otherwise, leave your name, number and dates, and we will call you back. Thanks for calling.

Twenty-eight seconds spoken at a normal pace. It names the park, sets a real expectation, sends the caller somewhere useful and handles the arrival case. It also asks for the three details that make a callback possible.

Peak season, when callbacks slip

An honest greeting beats an optimistic one. A park promising a morning callback in July and delivering it on Thursday has made things worse.

You have reached Cedar Ridge RV Park. We are in our busy season and the office is closed for the evening. We return every message, usually within a day. The fastest answer is our website at cedarridgervpark dot com, where you can see availability and book. If you are arriving tonight, leave your name and rig length. Otherwise, leave your name, number, dates and rig length, and we will get back to you. Thank you.

Note the word usually. It is doing real work, and it is better than a promise that will be broken twice a week.

The one most parks get wrong

Off-season closure. A greeting that says the office is closed, with no dates, tells a caller in February that the park may not exist any more.

You have reached Cedar Ridge RV Park. We are closed for the season and will reopen on April the fifteenth. We are taking reservations now for the coming season on our website, cedarridgervpark dot com. We check messages weekly through the winter, so leave your name, number and dates and we will call you back. See you in the spring.

It states the reopening date, keeps the booking channel open, and sets a weekly expectation the park can actually meet. Reservations for next season are the whole point of answering the winter phone at all.

You have reached Cedar Ridge RV Park. We are fully booked through the holiday weekend. Cancellations do happen, so leave your name, number and dates and we will call you if a site opens. Our website has availability for the weeks after, at cedarridgervpark dot com. Thanks for calling.

During office hours, when nobody can reach the phone

You have reached Cedar Ridge RV Park. We are here, just out on the property at the moment. Leave your name and number and we will call you back within the hour. For rates and availability, our website is cedarridgervpark dot com.

Arriving tonight, on a separate late-arrival line

You have reached the Cedar Ridge after-hours arrival line. If you are booked with us tonight, your site number and gate code were in your confirmation email. Pull in past the office and follow the signs. If you cannot find your confirmation, leave your name and we will call you straight back.

Weather or an unplanned closure

You have reached Cedar Ridge RV Park. Because of flooding on the access road we are closed until further notice. Guests with reservations this week will hear from us directly today. Updates are on our website at cedarridgervpark dot com. Leave a message and we will call you back.

Five things to leave out. Office hours instead of a callback time, since a caller wants to know when somebody will ring back. A long list of amenities, which belongs on the website. Music or a held tone before the greeting. An apology longer than the useful part. And a mailbox that is full, which is the only failure on this page that guarantees the call is lost.

Recording it so it sounds right

  • Record indoors, away from the office door and any equipment.
  • Read it aloud twice first. Written sentences sound stiff until they have been said.
  • Slow down on the website address, and say dot com rather than reading a URL.
  • Use the same voice the caller will meet at check-in, where that is possible.
  • Call the number and listen back on a phone, not on the handset.
  • Diarise the seasonal swap, because a closed-for-the-season greeting playing in May is a real cost.

What a greeting cannot do

It cannot say whether site twelve fits a forty-foot fifth wheel. It cannot take a booking, or reassure somebody driving in the dark who needs an answer now.

Most callers will not leave a message at all. That is not a failure of the wording, and no rewrite fixes it. A greeting reduces the loss; it does not close it.
